Fund Closing Awards: A Practical Buying Guide

A fund closing award is a custom commemorative piece marking a fundraising milestone, such as a first close, final close or successor fund. It can recognize the team, investors and advisers behind the raise, or serve as a lasting display piece for the firm.

Use this guide to define the recipients, design approach, quantity, timing and budget before commissioning your awards. You do not need a finished design to get started.

Start with the milestone and the people

Decide what the piece should commemorate: the launch of an inaugural fund, an interim milestone, a final close, a hard-cap close or a successor fund. Agree on the fund name, date and any closing information before artwork approval.

Recipients may include the investment and fundraising team, senior leadership, investor relations, placement agents and advisers. Some firms also commission pieces for investors or limited partners, where appropriate to their own gift policies. A larger office display may need a different design from an individually presented desk piece.

Choose the right level of custom design

Classic: a refined crystal or Lucite form, made specific through typography, fund identity, color and personalization. Usually the most efficient route for timing and budget.

Distinctive: layered construction, a dimensional graphic, a custom base or mixed materials. This can create a stronger connection to the fund without a fully sculptural build.

Sculptural: an original model, cast form or intricate assembly tied to the investment strategy or firm identity. Allow more time for development, tooling, sampling and production.

What affects the cost?

The main drivers are quantity, dimensions, material, complexity, tooling, decoration, personalization, packaging and delivery. Custom molds and model development are shared across the order, so quantity can change the cost per piece. A simple form with excellent graphics may achieve the desired result more efficiently than a complex assembly.

Share either a total project budget or a per-piece target, and identify whether packaging and shipping must be included. Pricing is quoted for the agreed design and requirements; there is no single price that fits every fund close.

How many should you order?

Start with a recipient list by group and delivery destination. Decide whether everyone receives the same design, whether names or titles vary, and whether office displays are additional. Consider a small reserve for late additions before production begins; a later reorder may have different costs or timing.

How long does a fund closing award take?

Initial design directions are typically prepared within 24–48 hours. After artwork approval, many projects require approximately 3–4 weeks for prototyping and production. Complex sculptural pieces, custom models and cast metal can require longer. Shipping time is additional.

Work backward from the date the awards must arrive, allowing time for internal approvals, final names, sampling, production and delivery. A presentation date and a shipping date are not the same. Tell us about a fixed deadline at the start so we can recommend a practical approach.

From brief to finished piece

1. Brief: share the fund, occasion, recipients, estimated quantity, target delivery date, budget guidance and available brand materials.

2. Design: we develop and refine the concept, then confirm materials, dimensions, decoration, pricing and the production specification.

3. Approval and sampling: check all names, figures, logos and dates carefully. Every factory production job receives a prototype or production sample as part of Polaris quality control. Client review may be in hand, by photographs or video, or may not be required separately for the project.

4. Production and delivery: the approved design moves through production, quality control, packaging and shipment. Confirm delivery destinations and presentation requirements early.

Personalization, packaging and delivery

Names, titles or recipient groups can often be varied while retaining one core design. The method depends on the material and decoration process. Keep a single approved recipient list to reduce transcription errors.

Plan presentation boxes, protective interiors and any accompanying cards alongside the award. For multiple destinations, collect delivery details and decide who will distribute the pieces. Weight, fragility and packaging can influence both the design and shipping cost.

What should you send to get started?

A short brief is enough: the milestone, estimated quantity, target arrival date and any budget guidance. Add your logo, fund announcement or reference images if available. If the closing details are not final, tell us which information is still provisional.
